Dossier Maintenance
When and how to refresh attorney research dossiers.
Refresh Triggers
Section titled “Refresh Triggers”Re-run the attorney research dossier prompt when any of the following occur:

| New recognition or award | Changes submission readiness and editorial angles |
| New case outcome (verdict, settlement) | Strengthens trial experience section |
| Bar status change (new jurisdiction, status change) | Core credential update |
| Annual refresh (12 months since last dossier) | Sources go stale, directory data changes |
| Pre-submission to a major directory | Ensure all data is current before submitting |
| Client provides confirmation responses | Update “Needs client confirmation” items with verified data |
| Firm changes (new partner, office move, rebrand) | Structural info may be outdated |
Refresh Process
Section titled “Refresh Process”1. Review the existing dossier
Section titled “1. Review the existing dossier”- Read through the current dossier
- Note which items were “Not found” or “Needs client confirmation” — have any been resolved?
- Check the source log — are any sources likely stale (more than 12 months old)?
2. Re-run targeted research
Section titled “2. Re-run targeted research”- Don’t re-run the full dossier prompt if only one section changed
- For a new award: verify with the awarding body and update Section 5 (Recognitions)
- For a new case: verify via court records and update Section 4 (Trial/Case Experience)
- For a bar status change: verify via the state bar directory and update Section 2 (Credentials)
3. Update the dossier file
Section titled “3. Update the dossier file”- Edit the existing dossier in place (don’t create a new file)
- Update the confidence labels if new evidence changes a rating
- Add new sources to the source log
- Update the “Items Needing Follow-Up” section — remove resolved items, add new ones
4. Update dependent files
Section titled “4. Update dependent files”After updating a dossier, check whether these need updating too:
- Attorney bio in
bios/— does it reflect the new information? - Active campaign files — do any submissions need updated data?
- Client README — does the open items list need updating?
5. Notify
Section titled “5. Notify”- If the update affects an active campaign or pending submission, flag it immediately
- If the update reveals a problem (discipline action, conflicting information), escalate to the client contact
Annual Refresh Schedule
Section titled “Annual Refresh Schedule”Set a reminder for each client to do a full dossier refresh:
